Terms and Conditions of your stay

Booking Terms

A deposit of 25% is required to secure your booking.   

If you book via email, then we will send you a payment link with your booking confirmation and allow you 24 hours to make your payment.  If we do not receive payment within this time, then we will assume your plans have changed and will re-advertise the offering.

The outstanding balance will be requested 4 weeks prior to your stay if that is possible. If you are booking less than 4 weeks in advance, the full amount for your stay will be required upon booking. We can only accept bookings from persons over 18 years of age and reserve the right, always, without a statement of reasons to refuse or cancel a booking.

Cancellation Policy

If you cancel your stay, your deposit and any balance paid is transferable to alternative stay dates, subject to a £25 admin charge and on condition that we can re-book your original dates.  If we are unable to re-book the dates, then any monies paid, will be non-refundable. We strongly recommend that you obtain adequate travel insurance to cover you in this instance. Please note, we may use third party booking agents to provide us with some bookings.  If you cancel your stay and the dates are re-booked by an agent, we will refund your stay price, minus a £25 admin fee, plus any commission payable by us to the third party.

For guests booking through third parties, we recommend also reading their terms and conditions.  Cancellation and payment terms may differ and will run in conjunction with ours.

In the unlikely event that we need to cancel your holiday we shall inform you as soon as possible and either reschedule your stay or refund any monies paid to us. There may be rare instances when we may need to cancel a stay with little or no notice.  In this instance, we will not be liable for providing alternative accommodation or covering expenses or inconvenience incurred as a result.  The bell tent is very strong, but if high winds are predicted ahead of your stay we may be required to cancel your booking, this is for reasons of your own safety.

Moleshill Retreat is not liable for refunds or expenses you incur in the event we are prevented from fulfilling your booking because of circumstances beyond our control. Such circumstances shall include (but not be limited to) war, terrorism, riots or civil unrest, industrial action, flooding, bad weather, natural disaster, epidemics, health risks or such similar events (“Force Majeure”).

We reserve the right to cancel any booking either before or during the stay if the following terms and conditions are not adhered to.  No refunds will be issued. 

Arrival & Departure

Check-in is from 4pm.  Strictly no check-ins before 4pm, unless I message you.  If you are running late then please keep us informed on tel:+4407809130973 or via email Lara-mailto:hellomoleshill@gmail.com   We may not be able to greet you in person if you are running late, but we will leave you adequate check in instructions. Check out time is strictly 11am.

We recommend using the directions that we provide on your booking confirmation for the last part of your journey or inputting the Moleshill Retreat into Google Maps.  We share a postcode with 3 other properties within a mile radius so sat nav might get you lost.  We can also be found on what 3 words.

Maximum Numbers & Additional Guests

Please note the tent is set up for a couple only.  If you require extra beds for children, the seating turns into z beds for 2.   We can provide kitchenware and a highchair for babies & toddlers.  If your extra guests are adults who wish to camp alongside you, this is possible to do so for a small fee. (£15 per adult)

On Site 

-Behaviour– 
Inappropriate or anti-social behaviour towards us or the site will result in us asking you to leave without a refund.

-You are welcome to explore the site but please remember that the safety of yourself and your children is always your responsibility. Please do not let unaccompanied children wander, there are ditches and old walls and fences that could pose a risk to a small human.

-We are happy for you and your children to explore and make full use of the campsite, however, please do so with consideration and respect for the fauna and flora.  Please do not pick wildflowers or damage trees.

 

Campfires Before lighting fires we ask you to read the guidelines (provided in the cabin) and we will assume that you have read these and will adhere to them if you do decide to light a fire.

Please do not forage firewood or kindling from the trees on site.  We will supply you with a generous basket of firewood on arrival.  If you would like more then you are welcome to help yourself and pay into the honesty box or direct to us.  We have a card machine for extra purchases if you don’t have cash.

-STRICTLY NO SMOKING OR VAPING in the tent or cabin. Smoking in holiday accommodation is illegal in Wales.

 

-No naked flames, such as candles or tea lights to be used inside the tent or cabin, just in case they are forgotten about and cause a fire risk.  You are welcome to use the candles outside in the lanterns provided.  We may ask you to adhere to lighting a campfire if we  have a very dry spell.  The camp is located next to tall pine trees and surrounded by long grass mid summer this could  catch alight if sparks from a campfire get out of hand.

-We do not allow fireworks, Chinese lanterns or such like be used on site- these lanterns pose a genuine threat to animal welfare, they are also a potential fire hazard to wildlife habitats and local homes.

-To protect the privacy of ourselves, our guests and local neighbours, drones are not permitted to be flown on site without prior permission.  This will only be provided in exceptional circumstances.

Sauna Use

The sauna can be booked in advance of your stay, but not essential, it just ensures we are available to prepare it for you.  It takes a while to clean the cold plunge and heat up the sauna ready for use.  We will always ask you if you have any health conditions before booking.  There are many wonderful health benefits to using a sauna, but only if it is used correctly. Once you have a good understanding of the best way to sauna, we will leave you in peace to enjoy the tranquility of the elemental spa.

Outside Shower/hot shower

 There maybe times when the water pressure  is too low to shower, this usually coincides with the cows being milked and watered. we will inform you of the best times to use the hot and cold shower.  Water can always be collected from outside our house and we will always do our utmost to assist you if there is an issue, but it is important to remember this is an off-grid campsite.

Dogs
We welcome well behaved, friendly dogs.

We are surrounded by working farmland; please take care to ensure your dog is kept on a lead or trained in recall. Farmers take stray dogs as a very serious threat to their livestock.   We also have chickens enclosed within an electric fence in the bottom field, which may give your dog a shock if they were to find it.
Strictly no dogs on the beds or any of the soft furnishings in your tent.  Any excessive cleaning or damage will be charged to your account on the day of departure.  
 

Wood Burning Stove

There is a wood burning stove in the tent that you are welcome to use on a chilly day or evening, please adhere to the fire instructions given.  Don’t leave the fire unattended and take great care in using it.  Any damage caused by misuse of the fire will be charged to your account.

Accidental Damage

We appreciate that items do get accidentally damaged or broken- Please let us know if this happens as soon as you can so that we have maximum time to repair or replace things in preparation for the next guests.

Liability 

Moleshill Retreat can accept no liability for theft, loss or damage, of whatever nature, during or because of your stay.

The person who books assumes responsibility for any other guests within his/her party, their companions, their children, their pets and any others invited by you or them to the site. You and all members of your party are jointly and severally responsible for all loss, damage or injury which may arise.

If your accommodation or equipment is left in a poor condition resulting in additional cleaning, repair or replacement, you may be charged to cover the costs incurred.

Personal Property and Injury

We cannot accept responsibility for loss or damage to personal possessions or vehicles during your stay. Please ensure any valuables remain locked in your cabin or car.

Every effort has been made to ensure guests safety on site, but we cannot accept responsibility for any accidental injuries.  The very nature of camping and being in the great outdoors carries an element of risk.  There is a first aid kit and contact numbers for local A&E’s, pharmacies and local GP.

Lost property: please note that it is your responsibility to thoroughly check your accommodation before leaving and ensure that you take all your belongings with you. If, upon returning home, you find that you have left something important behind then, subject to us finding the item, we are happy to post it back to you, upon receipt of funds to cover postage and packing.  Anything that is left behind and not claimed within 3 months from the end of your stay will be disposed of or given to charity.

Complaints 

Should you find you have any complaint during your stay at, please notify us immediately and we will do all we can to rectify the problem.  Should you remain unsatisfied please notify us in writing within 7 days of the end of your stay.
